Automated emails: what Tellisto sends for you

Which emails Tellisto sends without you, including the enquiry auto-reply and your own reminders, and how to make each one read like your studio.

A 4 minute read

This page is for anyone who’s wary of software that emails their clients. Tellisto sends a small number of emails for you. Below is exactly what sends, what waits for you, and how to make every word sound like your studio rather than a robot.

The one email that sends on its own

When a new enquiry comes in, Tellisto sends an instant reply so the person who just found you hears back straight away. That reply is switched on from your first day. It’s the only automated email that answers a new enquiry without you pressing send. It starts as a template, and you can rewrite it in your own voice or switch it off if you’d rather answer every enquiry by hand. Either way, the enquiry still goes into your pipeline. Turning the reply off only means no instant acknowledgement goes out.

The auto-reply also skips spam. If a submission looks like junk (a throwaway email, a pile of links, gibberish), it goes to a Possible spam tray instead of your pipeline, and nothing in that tray gets an auto-reply. So the instant reply only ever goes to a real person. Set up lead capture covers where enquiries come from and how the form filters out spam.

Every email carries your studio’s name

This matters most if you’ve used white-label tools that slip their own branding into the footer. Every client-facing email Tellisto sends carries your logo in the header and your accent colour on the button. It goes from a neutral domain styled as your studio, never a tellisto address, on every plan including free. Your client sees an email from your business, with nothing that names the software behind it.

Emails come from a neutral address rather than a Tellisto one, on every plan, and each one is styled as your studio. Replies go to the address you choose in Settings, under Branding.

The nudges are for you, not your clients

Separately, Tellisto watches your open jobs and emails you when something is about to slip. These reminders go to your own inbox, never to a client. A gallery the client hasn’t opened yet, an enquiry nobody has answered, a warm lead who has stopped replying, a gallery stuck in draft: when one of these comes up, you get one short email with one thing to do about it.

We keep these rare on purpose. You get at most one nudge per week, and never two about the same thing, so the same gallery won’t turn up in your inbox three days running. If nothing needs you, nothing sends.

You can always see what was done for you

Your home screen in Tellisto is a briefing rather than a stats page, and one of its lanes is called Handled for you. That lane lists what Tellisto has already done on your behalf, so you never have to wonder whether an email went out without you. If the auto-reply answered a new enquiry, or a task ticked itself off when you published a gallery, you’ll see it listed there.

So automation doesn’t mean losing track. Nothing sends without a record. What Tellisto does for you is listed where you’ll see it, next to the things that still need your attention.

No drip campaigns, no sequences

Tellisto does not send marketing sequences to your clients. No marketing funnel moves a lead through a string of emails. The automated emails are the practical ones a good studio would send anyway: an acknowledgement when someone enquires, a payment reminder on a payment plan, a link when a large download is ready, and the nudges to your own inbox. We stop there on purpose.

The Automations feature page lists every moment Tellisto can send an email, beyond the enquiry reply. The delivery email is one you’ll always want to write by hand, and what to write when you send a gallery shows how to write a good one.

New to all of this and not sure where to start? Your first day in Tellisto sets up the enquiry reply and the rest of the basics in about ten minutes. After that, the automations mostly stay out of your way until you want them.

Frequently asked questions

Quick answers

Will Tellisto email my clients without me knowing?

Tellisto sends a small, fixed set of client-facing emails: the enquiry auto-reply, payment reminders on a payment plan, and the link when a large download is ready. You can rewrite the auto-reply or switch it off any time. The auto-reply is switched on from your first day, so you know about it from the start. Everything Tellisto does on your behalf shows up in the Handled for you lane on your home briefing, so you can check what went out.

Can I turn the enquiry auto-reply off?

Yes. It starts switched on so a new enquirer hears back straight away, but you can rewrite it in your own words or switch it off. If it's off, an enquiry still goes into your Leads pipeline. It just doesn't get an instant reply.

Do the emails come from a tellisto.co address?

No, never, on any plan. Every client-facing email carries your logo and accent colour and goes from a neutral domain. Your client hears from you, not from us.

How often will Tellisto nudge me?

At most once a week, and never twice about the same thing. A nudge is one short email about one thing you can fix, like a gallery nobody's opened yet or a warm lead who hasn't replied in a while.
