How a job moves from enquiry to delivery

How a job moves through Tellisto from enquiry to booking, gallery and invoice, with the client's details carried over so you never retype them.

A 4 minute read

If you’ve been running jobs across a form, a spreadsheet and an invoice tool that don’t talk to each other, this page shows what changes. In Tellisto every part of a job is connected: enquiry, booking, shoot, gallery and invoice, all attached to the same client. Read this and you’ll see how each stage leads to the next, and why you stop retyping the same name and email at every step.

Each stage builds on the last

An enquiry becomes a booking, and a booking becomes a gallery. You create each one from the one before, with the client and the details already filled in, so you confirm rather than re-enter. The links work in both directions. A booking lists the galleries that belong to it, and a gallery shows which shoot it delivers. If you open a gallery six months later and can’t remember the shoot, the booking is linked right there, so you don’t have to hunt through folders.

Each client has their own page. It lists their bookings, invoices and galleries in order, so everything about a client is on one page rather than across five tabs. Your clients never see any of this. They only ever see your studio. This is the back office that lets you run like a business with a proper office behind it.

The quote that starts the money

Most jobs become a booking through a quote, and this is where the connected setup first saves you time. You create the quote straight from the lead, with no new client record and no copy-paste. When the client accepts it (or just pays it), three things happen in one step. The lead becomes a client, the booking is created, and the first invoice is created with it. You can confirm all of it from your task feed rather than building each piece by hand.

At that point a warm enquiry becomes a real job on your calendar, with money attached. Clients pay from a link by PayID or bank transfer, and Tellisto takes no commission on any of it. Quotes and deposits covers the rest of the quoting and deposit side, including how much to ask for and why the contract comes before the money.

From confirmed to shoot day

A confirmed booking comes with a checklist that matches the type of shoot. A wedding and a family session need different to-do lists, so you set the tasks per package or shoot type once and reuse them. The booking also appears on your calendar, spanning every day of a multi-day job. The where and the when are stored on the booking instead of in a text thread.

Then a date moves, because dates always move. Change a task’s due date in place and you can move the later tasks along with it. If you say yes, the rest of the list moves to fit the new date, so you don’t have to redo each one by hand. Calendar sync, checklists and shoot tasks covers the calendar, the checklists and moving tasks in detail.

Once you’ve shot the job, you create the gallery straight from the booking. The client and the details carry across, so you don’t have to tell Tellisto again who the gallery is for. Upload the shoot, organise it into sets, and deliver it the way your first gallery describes.

When you publish that gallery, the matching task on the booking checklist completes by itself, marked done for you. You don’t have to tick off something Tellisto just saw you do. The same happens when a client signs a contract, if the booking’s checklist has a contract task. It ticks itself as soon as the client signs, so you don’t have to chase the paperwork or update the list yourself. If Tellisto can see a task is done, it closes it.

Where you see every job at once

You don’t have to keep track of every job in your head, because your home screen does it for you. It’s a briefing, not a stats page, split into four lanes:

  • Today, for what’s happening now and tomorrow’s shoots
  • Needs you, for things waiting on you
  • Waiting on them, for things waiting on the client
  • Handled for you, for what Tellisto already did on your behalf

Every lead, booking, gallery and invoice page shows a suggested next action, so when you open a job it tells you what to do next.

When a job comes in some other way, the global plus logs a lead from any page in seconds. Someone rings you after seeing a wedding you shot, or a guest asks you on the day. Log it on the spot, and it goes into the same pipeline and moves through the same stages as everything else. Each job moves forward from stage to stage, and you never have to rebuild it by hand.

Frequently asked questions

Quick answers

Do I have to re-enter the client's details at every step?

No. Each stage is created from the one before it, with the client and the details filled in for you. You confirm and adjust rather than retype. You create the booking from the enquiry and the gallery from the booking, and they all stay linked to the same client.

What exactly happens when a client accepts a quote?

The lead becomes a client, and the booking and the first invoice are created together in one step. You can confirm it straight from your task feed. Paying the quote has the same effect as accepting it, so a client who skips straight to paying gets the same result.

What if a client books without enquiring first?

Log it yourself. The global plus logs a lead from any page in a few seconds. A chat in a hallway or a phone call from someone who heard about you goes into the same pipeline as a website enquiry, and from there the job runs the same way. See setting up lead capture for every way enquiries come in.

What happens to the checklist when a shoot is rescheduled?

Change the task's due date in place, and you can choose to move the later tasks with it. Change one date and the rest of the list moves to match, so a rained-off wedding week doesn't cost you an evening of re-planning.
